Synchronization vs. Transfer
Customers are always asking us to explain the difference between synchronization and transfer. Synchronization lets you maintain the exact same contact data in CardScan and other programs or devices. Transfer lets you move CardScan contact data to another program.
How CardScan Synchronization Works
Use CardScan Synchronization to copy contact data to and from supported contact managers and Personal Information Managers (PIMs). CardScan Synchronization copies the contact information from CardScan to the other application and vice versa. When synchronizing for the first time, all CardScan contacts are copied to the other applications, and all contacts from the other application are copied to CardScan. As a result, both places contain the same information.
NOTE: When performed for the first time, CardScan Synchronization may add duplicate contacts to either place. You can quickly find and remove duplicates in CardScan using the Duplicates Wizard. Subsequently, if contacts are added, edited, or deleted in either place, CardScan Synchronization copies only the changes, and does not create duplicate contacts.
Because CardScan Synchronization prevents adding duplicates, use it to:
- Keep identical contacts in CardScan and another application (two-way synchronization).
- Add large numbers of contacts to another application, by scanning with CardScan and a one-way synchronization.
- Add contacts from another application to CardScan (one-way synchronization) to take advantage of CardScan's features for keeping contacts up to date.

Save time during data exchange.
Know where your CardScan file is located before you start your synch or transfer.
With your CardScan contact management software open choose 'File' -> 'Save As' to see where the file is located. |

Can’t find your CardScan file
Use Windows Search to locate any CardScan database file stored locally or on a network share
- Click the Windows Start Bar
- Select Find or Search
- Search for Files and Folders
- Search for '*.cdb' in the locations where the file(s) may be stored.
Notes:
- CardScan saves files to the local drive by default
- Alter the search criteria from the local drive to MY COMPUTER to search the local drive and any network drives the computer is connected to
- The above steps may vary with different versions of Windows. Use Windows Help to find the specific step

Transfer only the data you need..
Specify only those contact data fields you want to move to another program.
Transferring contacts to contact managers and PIMs To transfer contacts to a contact manager or PIM: |

- Start the contact manager application.
- Click 'Transfer' on the QuickAccess Bar or choose
'File' -> ' Data Exchange' -> 'Transfer'. The 'Transfer' dialog appears.
- Choose what contact information to transfer.
- Choose the target application and click 'Transfer'.
TIP: If you always transfer to the same application, you can replace the default Transfer button with the Transfer button for that application.

Use AutoSync™ to keep contact data consistent, automatically.
Set CardScan to automatically synchronize with other programs or devices every time you make a change in CardScan, or at specified times. |

Setting up AutoSync™
You can set up AutoSync only after having configured CardScan Synchronization.
- Choose ' File' -> 'Data Exchange' -> 'CardScan Synchronization'. The 'CardScan Synchronization' dialog appears.
- Click AutoSync. The 'AutoSync Options' dialog appears.
- To synchronize whenever the CardScan file changes: check the checkbox 'Synchronize when the CardScan file is changed'.
- To set up regularly scheduled automatic synchronization: check the “Synchronize on schedule” checkbox. You can choose to synchronize the files:
- Every few minutes — type or use the up/down arrows to choose a value (1 to 120 minutes);
- Once a day at a specific time — use the up/down arrows;
- Once a week on a specific day and time — use the drop-down menu to choose the day; use the up/down arrows to choose the time.
- Click 'OK'. AutoSync displays this message: "The files you have selected will be synchronized now to ensure that AutoSync runs correctly with the current settings."
- On the message box: click 'OK' to enable AutoSync. The AutoSync icon appears on the Windows taskbar.
- Click 'Cancel'. AutoSync is disabled.
