Categories

With the CardScan software “categories” feature you can assign contacts to groups – and then find and act on those groups for maximum efficiency.



Batch Scanning: Assigning notes and Categories to a Batch

To assign notes and categories to a batch of cards:

  1. Scan the first card or cards if scanning with Auto-Detect. The Scanning Options dialog appears.
  2. Click Batch Options. The Assign Notes and Categories to Batch dialog appears.
  3. In the Categories window, click the categories to assign to all cards in the batch. To add, rename or remove categories.
  4. In the Notes window, type your notes. To enter date and time, click the icons to the right of the Notes window.
  5. Click OK. The Scanning Options dialog appears.
  6. Scan the rest of the batch.
  7. Click Process.
  8. Processes all cards.
  9. Assigns selected categories to each card.
  10. Adds notes to each card.
  11. Displays the first card of the batch in Edit view.




Editing the List of Categories

When you edit categories in the list, they appear in the Categories tab.

  1. Choose Edit -> Categories. The Edit Categories dialog appears.
  2. Edit:
    • To add a category, click Add and enter its name.
    • To remove a category, select it and click Delete.
    • To rename a category, select it, click Rename and enter the name.
  3. Click OK.




Checkboxes in Assign Categories dialog

When you assign categories to multiple contacts, the checkboxes in the Assign Categories dialog may appear as follows:

  • Empty checkbox
    This category is not assigned to any of the selected contacts. Clicking it assigns it to all selected contacts, and a solid checkmark appears in the checkbox.


  • Solid checkmark
    This category is assigned to all selected contacts. Clicking it removes all selected contacts from this category, and the checkmark disappears.


  • Dimmed checkmark
    This category is assigned to some of the selected contacts. Clicking it removes the selected contacts from the category. Clicking the category a second time assigns it to all selected contacts, and a solid checkmark appears. Clicking it a third time returns the assignment of this category to its original state.
