General Information

Use of your Personal Information
CardScan and Sanford, LP. will not sell, rent or license your contact information, or that of the people in your address book. Contact information, updates to it, and confirmations of its correctness are sent back only to those who previously held it. CardScan does not give out personally identifiable information collected from our users to other third parties, unless this information is required to complete an order or transaction, for example, to a credit card processing company for credit card verification purposes or to a shipping company so that your goods may be shipped to you.

In short, you are in control of the information that we maintain about you.
  • We will NOT rent, sell or license your personal information to any other party.
  • We will NOT rent, sell or license the personal information of your business contacts.

Information Collection and Use
In order to use certain online features and services you may be required to complete a registration form that may require you to provide information such as your name, contact information, email address and contact information for the people in your online address book. CardScan does not use any of the information regarding the people in your online address book, other than to periodically query contacts (if you use the CardScan At Your Service Updates), to ensure that the information is correct. Recipients of the query may be presented with an opportunity to become CardScan or CardScan At Your Service users themselves.

CardScan also may collect personally identifiable information from web forms that you complete. That data will only be used to answer your question or request, or to complete your order.

In order for you to complete a financial transaction, we will ask you for certain contact information, such as name, address, billing address, shipping address, telephone contact details, email and credit card information. We do not permanently store credit card information and that information is removed once the transaction has been completed. To register with CardScan At Your Service , we will also ask you to provide a private password, user name and security question and answer, which will become part of your account information. This information is required for order / account verification. Job title and company information is optional. We also send emails to keep you informed of your order status.

To provide effective customer service and technical support to our European customers, we have partnered with another Newell Rubbermaid company, DYMO, to handle inquiries and questions. DYMO’s technical support and customer service teams will have access to order information and registration information to provide appropriate service to our customers. DYMO’s privacy policy can be found at its website: www.dymo.com.

If you choose to subscribe to CardScan At Your Service , CardScan At Your Service will maintain any contact data you upload into the system in its secure database. This may include contact or other information from any of your contacts as well as information about you and your subscription to CardScan At Your Service . To request access to review, modify or correct any information CardScan has stored for you, please contact our technical support department at 001- 866-900-6902, fill out an email request to technical support at http://www.cardscan.com/support/tech_support.asp, or login to your CardScan At Your Service account at www.cardscan.net.

Cookies

CardScan web sites issue a session cookie only to record encrypted authentication information for the duration of a specific session. In order to use CardScan At Your Service and the Updates feature, your browser must be set to accept session level cookies. Most browsers are initially set to accept them.

We currently contract with several online partners to help manage and optimize our Internet business and communications. We use the services of a marketing company to help us measure the effectiveness of our advertising and how visitors use our site. To do this, we use Web beacons and cookies. The type of information we collect includes information about your browser and which technologies you use, where in the world you are coming from, and how you interact with our site, including product codes and prices for merchandise you purchase, and which pages you visit. We do not collect any personally identifiable information in this process. By supplementing our records, this information helps us learn things like what pages are most attractive to our visitors, which of our products most interest our customers, and what kinds of offers our customers like to see. Although our marketing company logs the information coming from our site on our behalf, we control how that data may and may not be used. If you do not want to help us learn how to improve our site, products, offers and marketing strategy, you can opt-out of this website analysis tool by not allowing cookies from CardScan.com.

Conversion Tracking
CardScan.com. has recently begun a campaign to market our CardScan product on various search engines which offer a feature called “conversion tracking”. This section describes what conversion tracking is, what it does, and how it affects our privacy policy.

Conversion tracking is a way to track “clicks to sales” from either search results, or ads on search engines. The search engine places and maintains a cookie on a user's computer to do this but no user personal data is recorded or used in the process. Information is gathered in the aggregate, without unique personal data such as name, address, or phone number. Using either clear GIFs or visible images, depending upon the search engine, the search engine notes and saves information such as time of day, browser type, browser language, and IP address with each query, none of which is shared with any other company or person. Conversion tracking simply allows the search engine company and CardScan.com to track “clicks to sales”, including the number of clicks (“visits”) it takes before a purchase is made. Without capturing your personal information, conversion tracking allows CardScan.com to measure the effectiveness of our search engine participation. Conversion tracking does not affect our core privacy policy: we still do not sell or offer any information we gather about you to any third party, for any reason.

Communications from CardScan

Special Offers and Updates
We send all new customers (in the case of CardScan) and subscribers (in the case of CardScan At Your Service ) a welcoming email. Established customers and subscribers will occasionally receive information on products, services, special deals, and a newsletter. Recipients of CardScan At Your Service update query emails may be presented with an opportunity to become CardScan or CardScan At Your Service users themselves. Out of respect for the privacy of our customers and subscribers and their contacts, we present the option in each email communication for our customers and subscribers not to receive these types of communications.

Newsletters
If a user wishes to subscribe to our newsletter, we ask for contact information such as name and email address. Out of respect for our users’ privacy we provide a way to opt-out of these communications.

Online Store
When a user orders from our online store, the personally identifiable information collected through the site is only used to process and send users their orders. We use an outside shipping company to ship orders, and a credit card processing company to bill users for goods and services. These companies do not retain, share, store or use personally identifiable information for any secondary purposes. In the case of international orders, customer information is retained for tax purposes only.

In order to serve our Canadian customers efficiently, we have partnered with Canada Post Borderfree to fulfill orders to Canada. Borderfree, and not CardScan, will charge the customer’s credit card for Canadian transactions only so that we can provide our Canadian customers with a full landed cost, including taxes and duties in Canadian dollars. In order to serve our European customers efficiently, we have partnered with another Newell Rubbermaid company, DYMO, to fulfill orders to Europe. DYMO’s agent in Europe, Link, and not CardScan, will charge the customer’s credit card for European transactions only and they will be responsible for processing and shipping these orders.

Surveys
From time to time our website requests information from users via surveys. Participation in these surveys is completely voluntary and the user therefore has a choice whether or not to disclose this information. The requested information typically includes contact information (such as name and shipping address), and demographic information (such as zip code).Aggregate survey information will be anonymised and used for purposes of monitoring or improving the use of and satisfaction with our products and services.  Users’ personally identifiable information is not shared with third parties.

CardScan At Your Service Information

Log Files
CardScan At Your Service collects log files. These include internet protocol (IP) addresses, browser type, Internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track user’s movement in the aggregate, and gather broad demographic information for aggregate use. None of this data is linked to personally identifiable information. If you have created a CardScan At Your Service Record (a data record which contains your contact information) or if you have updated an existing record at least once, you can change that information at any time at CardScan At Your Service , a CardScan site that is covered by this privacy agreement.

Clear GIF
CardScan At Your Service employs a software technology called an "Image Server", that allows us to judge the efficiency of the messaging included in emails sent to potential CardScan At Your Service users. Invisible images are embedded in these HTML emails, which log the unique identifier to the CardScan At Your Service database when the message is opened in a web-enabled email client. The information gathered using this technology is used only to perform aggregate, broad statistical analysis.

Communications from CardScan At Your Service
CardScan At Your Service sends all new account holders a welcoming email to verify password and username. On rare occasions it is necessary to send out a strictly service-related announcement. Users may not opt out of these communications because they are necessary to properly maintain the service. However, these communications are not promotional in nature. We communicate with users on a regular basis to provide requested services. In regards to issues relating to their account we reply via email or phone, in accordance with users’ wishes.

Information Regarding CardScan At Your Service Records
CardScan At Your Service Updates is a service that updates subscribers' electronic address books. Activating the service feature gives CardScan permission to email subscribers' contacts on the subscriber’s behalf requesting that they update their information. Recipients of this query email may be presented with an opportunity to become CardScan or CardScan At Your Service users themselves.

CardScan electronically aggregates the update requests from all its subscribers so that updaters will receive one system-wide update request per quarter regardless of how many people they give their card to. Recipients of update request emails are given the opportunity on each occasion to permanently opt out of receiving further such emails.

If you activate your own CardScan At Your Service Record, you authorize CardScan to share your updated information with other CardScan At Your Service subscribers who also hold your contact information. Updates are communicated only to those subscribers who previously held your contact information.

The CardScan At Your Service Updates feature gives CardScan permission to email your contacts. We will not share their personal information with any third-parties without their permission. If any of your contacts request that CardScan not send any further email correspondence to them, CardScan will remove their personal information from the service without consulting you. Your contacts will still remain within your original database.

Security
CardScan collects and stores data on our secure servers. Your data is stored in a secure environment that is not available to the public or shared with any third parties. Your CardScan At Your Service account is password-protected for your privacy and security. We use industry-standard SSL-encryption to protect data transmissions. CardScan At Your Service provides unique usernames and passwords that must be entered each time a customer logs on. This helps prevent unauthorized access, maintain data accuracy, and ensure appropriate use of data. If you forget your password and you have not provided a secret question/answer, CardScan will reset the password and send it to your contact email address. You will be prompted to log-in with the new temporary password. If you correctly answer your secret question/answer, your password will be reset and you will be given a temporary password.

Transfer of your Personal Information
As CardScan/Sanford, LP is located in the United States, your personal data will be held, processed and transferred to our secure servers which are currently located in Waltham, Massachusetts (if the servers are relocated to a different address, we will notify you of the same).  Your personal data is transferred to the United States so that we can operate our services, confirm, update and process your account details, orders, and registration.  However, we are EU Safe Harbor compliant and participate in the Council of Better Business Bureau’s BBBOnLine® privacy program, and every CardScan employee is obliged to comply with our comprehensive data compliance policies, including this privacy policy, we are confident that we are able to protect the security and confidentiality of your personal information and your contacts and provide you with an adequate level of protection.

Though we make every effort to preserve user privacy, we may need to disclose personal information when required by law when we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or other legal process.

If you purchase one of our products or subscribe to CardScan At Your Service we may use your email address that you provide to us in order to send you promotional communications, materials and newsletters that we think may be of interest to you. If you do not wish us to send you such marketing communications or newsletters, please let us know by sending an email with “Opt Out” in the subject line to optout@cardscan.com. You may opt out of these communications at any time and every time we contact you for marketing purposes you are given an opportunity to opt out. For example, if you buy a product from us, but don't want any marketing material you can keep your email address off of our marketing list by sending an email to the above opt out email address.

If we change our privacy policy, we will post a notice of the change on our homepage, so you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
